How to respond to negative reviews (with examples for contractors)

A bad review is not the end of the world, but a bad reply can be. Here is a simple way to respond to negative reviews on Google and Yelp, with example replies.

Every business that does enough jobs eventually gets a bad review. Sometimes it is fair, sometimes it is not, and sometimes it is from someone you have never worked for. It always stings.

Here is the thing most owners miss: the review is written for you, but your reply is read by everyone who comes after. A homeowner comparing three contractors does not expect a perfect 5.0. They want to see how you act when something goes wrong.

First: do not reply right away

Read it, close the app and come back later. Check your records: who was the customer, what job, what happened. A reply written while angry is the one that gets screenshotted and shared.

The 4-step reply

  1. Thank them and use their name. It shows you read it.
  2. Acknowledge the problem without arguing about every detail.
  3. Say what you did or will do, in one or two sentences.
  4. Take it offline with a direct phone number or email.

Keep it short. Four or five sentences is plenty.

Example replies

A fair complaint about a delay

"Hi Sarah, thank you for the feedback. You are right that we finished three days later than we promised, and we should have called you sooner when the material was delayed. We have changed how we update customers about schedule changes. If there is anything else we can do, please call me directly at (555) 123-4567. Mike, owner"

A complaint about the price

"Hi James, thanks for taking the time to write this. We give written estimates before every job so there are no surprises, and I am sorry the final number still felt high. I would like to go through the invoice with you line by line. Please call me at (555) 123-4567. Mike"

Someone who was never a customer

"Hi, we take every review seriously, but we cannot find any job or call under this name in our records. If we did work for you, please contact us at (555) 123-4567 so we can look into it."

Then report the review through the platform, as described below.

A one-star rating with no text

"We are sorry we missed the mark. We would like to understand what happened and make it right. Please call us at (555) 123-4567."

What never to write

  • Private details about the customer, their home, their address or what they paid.
  • Accusations such as "you are lying" or "you never paid".
  • Long arguments going through the job hour by hour.
  • Copy and paste replies that are the same on every review.
  • Offers of money in exchange for removing the review.

When you can get a review removed

Google and Yelp remove reviews that break their policies, for example:

  • Fake reviews or reviews from people who were never customers.
  • Reviews from competitors or former employees with a conflict of interest.
  • Hate speech, threats or obscene language.
  • Spam or reviews about a different business.

On Google, you can report a review from your Business Profile. On Yelp, use the report option in the business account. A review that is just negative and honest will not be removed.

Bury one bad review with many good ones

The best defense against a bad review is a steady flow of good ones. One complaint among fifty happy customers barely matters. One complaint among three reviews looks like a pattern. Ask every happy customer, the same day the job is done. Our guide on how to get more Google reviews has the exact messages to send. Note that Yelp has different rules, see Yelp for business.

Show your reviews where they help

Customers who find you on Google often check your website before they call. A website that shows real reviews next to real photos of your work closes that gap. We build that into every site we make, and we show you a free preview before you pay anything. See pricing.

Frequently asked questions

Should I respond to every negative review?

Yes. A calm, short reply shows future customers how you handle problems, which matters more to them than the review itself.

Can I get a negative review removed?

Only if it breaks the platform's rules, for example spam, a fake review, a conflict of interest or offensive content. A review you simply disagree with will usually stay.

How fast should I reply to a bad review?

Within a day or two, once you have calmed down and checked the facts. Fast matters, but a rushed, angry reply is worse than a slow one.
